At Charles Hearts Ex-Inmates Reformation Foundation, we step in to bridge this gap, offering financial support for those who cannot afford to pay their fines and providing legal assistance to ensure fair treatment for those awaiting trial. Job Summary
The Programme and Grant Management Coordinator will play a strategic role in designing, implementing, fundraising for, and monitoring programmes that advance the organization’s mission. This position requires a dynamic professional with strong skills in programme management, donor relations, proposal writing, grant management, and impact reporting. The Coordinator will be responsible for expanding the organization’s funding base, ensuring effective use of resources, and delivering measurable results that strengthen both community impact and organizational sustainability.
Key Responsibilities
1. Program Design and Implementation
• Lead the design and rollout of impactful programmes that address legal representation, financial assistance, and reintegration services.
• Conduct needs assessments to identify gaps in services and design evidence-based interventions.
• Ensure programme activities align with organizational strategy and donor requirements.
2. Case Management
• Oversee case management systems to ensure that clients receive timely and effective support.
• Coordinate with legal teams to track the progress of cases involving wrongfully incarcerated individuals.
• Facilitate access to financial aid, counselling, and other reintegration services.
3. Stakeholder Engagement
• Build and maintain relationships with key stakeholders, including government agencies, community organizations, and donors.
• Represent the organization at conferences, workshops, and advocacy events.
• Collaborate with stakeholders to ensure alignment with local and international human rights standards.
4. Grant Acquisition and Fundraising
• Develop and implement a fundraising strategy to secure diverse funding streams (grants, donations, partnerships, sponsorships).
• Identify and research prospective donors, foundations, and funding agencies.
• Lead the preparation of high-quality grant proposals, concept notes, and budgets.
• Cultivate and maintain relationships with donors, ensuring regular communication and reporting.
5. Grant Management and Compliance
• Oversee grant-funded projects, ensuring timely implementation in line with donor agreements.
• Maintain accurate grant tracking systems, including budgets, deliverables, and reporting schedules.
• Coordinate donor audits and ensure compliance with all funding regulations.
• Prepare narrative and financial reports for donors, highlighting programme outcomes and impact.
6. Monitoring and Evaluation
• Develop and implement monitoring and evaluation frameworks to assess the effectiveness of programs.
• Compile regular progress reports for internal and external stakeholders.
• Use data insights to improve program outcomes and inform future initiatives.
7. Advocacy and Awareness
• Collaborate on campaigns to raise awareness about wrongful incarceration and the challenges faced by ex-inmates.
• Advocate for policy changes that support justice reform and reintegration.
8. Budget and Resource Management
• Assist in preparing budgets for programs and tracking expenses.
• Identify and apply for funding opportunities, including grants and partnerships.
Qualifications and Skills
Education
• Bachelor’s degree in Law, Social Work, Human Rights, Development Studies, Social Sciences or a related field.
Experience
• Minimum of 2–3 years’ experience in program management, preferably in the justice, human rights, social services, development or humanitarian sectors.
• Proven experience working with marginalized populations, including ex-inmates.
Skills
• Strong understanding of social justice and human rights issues.
• Excellent project management and organizational skills.
• Ability to work collaboratively with diverse teams and stakeholders.
• Strong interpersonal and communication skills, both written and verbal.
• Proficiency in data collection, analysis, and reporting.
